The project journey

7 simple steps

Gamify supports the project cycle — planning and delivery in one place.

1👤

Create accounts

Organizations create an organization account. Youth workers and participants create personal accounts and get verified when invited to a project.

2🗂️

Create a project

Choose the project type and scale (local, national, regional or international), set the dates and location, and fill in the basics.

3🗓️

Build the agenda and activities

Add sessions and activities — QR attendance, quizzes, performance tasks, voting, reflections and evaluations. Even activate Gossip Box and Secret Friend game.

4✉️

Invite participants and youth workers/facilitators

Send invitations by link or QR code. People accept and join the project in one tap.

5▶️

Run the project

Deliver the project as planned — open activities at the right time and guide participants through each session.

6

Track participation and engagement

Check daily attendance and participants’ engagement in the project.

7🏁

Close and finalise the project

When the project ends, results are locked in, reports are ready to download, and achievements are recognized.

RCRetention & continuity (30%)

Measures whether participants stay meaningfully active until the end — the share of participants reaching the active-completion threshold.

Example threshold: at least 60% attendance, at least 2 key tasks, and final evaluation submitted.
Overall formula
FSraw = 0.35 × SA + 0.35 × EO + 0.30 × RC
Visible FS = round(FSraw × 2)  ·  Max FS per project = 200

LOLearning outcomes (35%)

Based on Evaluation Section A learning outcomes:

LO = completion rate × improvement score × 100. Only participants with at least 60% attendance are included.
OFOrganisational feedback (20%)

Based on Section B of the final evaluation, using a 1–5 participant feedback scale.

OF = ((average response − 1) ÷ 4) × 100
Overall formula
IQI = 0.45 × EO + 0.35 × LO + 0.20 × OF  ·  Max IQI per project = 100
  • Missing core components are not redistributed by default
  • IQI is shown separately from experience tier
  • Reflects organisational quality rather than youth worker facilitation

Frequently asked questions

What is Gamify?

Gamify is a digital platform that helps youth organisations create and manage projects, engage participants through gamification, and produce transparent project results. It brings project management, agendas, attendance, activities, points, leaderboards, evaluations and reporting together in one system.

What types of projects can use Gamify?

Any youth project, at any scale — local, national, regional or international. It supports Erasmus+ formats such as Youth Exchanges and Training Courses, as well as community-based programmes and local activities. More details on the Who it's For page.

What type of account should I create?

Create an organisation account if you will set up and manage projects. Create a personal account if you will join projects as a participant or deliver them as a youth worker.

Can one person be both a Participant and a Youth Worker?

Yes. One personal account is enough — your role is set per project, so you can be a participant in one project and a youth worker in another.

Our story

Gamify was born from real youth-work experience and international cooperation, and keeps growing with partner organizations, youth workers and young people.

Step 1 2025

Gamifying Youth Work

Gamify was initiated under the "Gamifying Youth Work" project, supported by the International Visegrad Fund. Organisations from Georgia, Ukraine, Poland and Slovakia co-created a digital gamification platform and curriculum.

Step 2 2026

Gamify Rural Youth Work (GRYW)

Through an Erasmus+ Capacity Building project — Gamify Rural Youth Work (GRYW) — we continue developing and testing an improved version of Gamify, including the mobile app, global leaderboard, agenda builder, transparent scoring and more.
